What is the job? Your main function, alongside the rest of the Client Care Team, is to pick up incoming calls. Its ends up being a race to see who can pick up that next phone call. You report to the Director of Operations who will also include you in busy season tasks and quarterly projects to keep it fresh. We can promise you will never be bored, two days are never the same.

How you will be successful.

  • To be as accessible as possible to our clients, you will field 100 incoming calls, on average per week.
  • Through knowledgeable client service and education, 50% of your incoming potential client calls opens an account.

What you will do.

  • Answer each incoming call within the first two rings
  • Deliver The Vantage Way service model at every interaction
  • Serve as a knowledgeable resource for current or potential client inquiries by guiding them through transaction processes, policies while documenting key points of conversations in SalesForce
  • Title scanned documents daily into our imaging storage system
  • Accurately maintain, log and secure client documents
  • Initiate the client contact update process
  • Assist in the Fair Market Valuation process annually
  • Assist in administrative follow-up of potential clients
  • Create and mail all new IRA account Welcome Kits daily
  • Contribute to completing operational quarterly projects
  • Provide training to new teammates preparing them for their new role
  • Be trained in other roles to deepen the infrastructure bench of our operation
  • Maintain Client Care Specialist Desk Manual
  • All other tasks as assigned

  • Previous client service or hospitality experience preferred
  • Capable of handling a high volume of incoming calls (100/week)

You will be doing the heavy lifting to process a variety of alternative investment real estate and private company transactions while staying on top of conversations between our clients, title companies and investment sponsors. What you will do.

  • Deliver The Vantage Way service model at every interaction
  • Serve as a knowledgeable resource for clients and their pending transaction inquiries by guiding them through transaction processes and policies while documenting key points of conversations in SalesForce
  • Process investment transactions
  • Conduct transaction follow-up, by email and outbound calls as noted in the buy, sell, rollover, transfer and distribution processes
  • Monitor team email boxes, assist in printing documents in preparation for processing
  • Maintain transaction logs
  • Complete asset holdings audit annually
  • Meet with clients face to face on specific transactions while serving as overflow for walk-in meetings
  • Contribute to completing operational quarterly projects
  • Provide training to new teammates preparing them for their new role
  • Be trained in other roles to deepen the infrastructure bench of our operation
  • Maintain Investment Transaction Specialist Desk Manual
  • All other tasks as assigned

  • Experience in either self-directed IRA real estate transactions; real estate loan processing; or title company escrow with an emphasis in real estate vesting, deeds or HUDs
